GENERAL INFORMATION

Ordering Information: All orders must be faxed, mailed, or e-mailed (orders@galaxyballoon.com). Orders are not considered for production unless they are complete.

A complete order must contain the following information:

• Distributor name, mailing address, 
    telephone & fax numbers 
• Purchase order number  
• Ship method		• Product color 
• Product quantity
• Imprint color 

• Ship date/ Event date
• Ship to address  
• Product name 

• Useable e-mail or camera-ready art 
• Copy of imprint on the 
   purchase order 

 

Changes/Cancellations: All orders are considered firm. Any change, other than quantity, to order once in production will be billed for any work done, plus any additional work required by the change. Changes in quantity (within reason) can be made prior to the start of production. If a change in quantity occurs after the completion of any portion of production, the change will be treated as a separate order and billed accordingly. Any change made after the start of production will delay shipping. Changes in ship method or ship to MUST be made before scheduled ship date. If a cancellation is necessary, all costs associated with work performed to date of cancellation will be invoiced. Cancellations must be in writing and acknowledged by Galactic Fun Time Line.

Production Time: Production starts when the order is complete. Production time is usually less than two weeks, depending on quantity. However, from the beginning of July to the end of October, production time could be longer. Call for production schedule. Depending on the season, rush orders may be accepted if the production schedule allows.

Overruns/Underruns: All orders are subject to 5% overruns and/or underrun.

Catalog Pricing: Due to currency and raw material price fluctuations, prices, terms and items are subject to change without notice. We are not responsible for incorrect pricing, production times and/or descriptions
found on 3rd party databases, websites, flyers or catalogs 
(ie. ESP, SAGE, Distributor Central, etc.). Prices in our latest catalog supersede all previous publications.

Co-op Programs: Co-op and catalog programs are always welcome, please contact Customer Service for details. All Co-ops must be in writing and approved by Galactic Fun Time Line. The co-op must be referenced on the purchase order in order to receive the pricing.

Special Packaging: Available at extra charge, please contact Customer Service for details.

Less Than Minimum Charge: $50.00(A). Must order at least one half of the published minimum.

Minimum Unimprinted Order: $100.00(A).

Change of Copy: Add $20.00(A). Available on Latex Balloons, Foil Balloons and Fan-ta-Sticks only. All other products will incur a full setup charge.

Samples: Product sample requests generally ship within 48 hours of receipt. Sample requests of reasonable quantities ship UPS Ground at Galactic expense. If a sample needs to be expedited, a UPS or FedEx number must be provided. Samples of product that sell for $10.00 (A) or more will be charged the EQP price of the product plus shipping. Please provide your credit card number when placing these “chargeable” sample orders. Pricing details for Spec Samples are located in the product attributes on each catalog page.
Pre-production Proof: 1-2 color imprint(s) will incur a charge of $50.00(A). 3-4 color imprints will incur a charge of $80.00(A).

Product/Color Variance: Due to the nature of the materials and the variance in manufactured products, we cannot guarantee exact matches on repeat orders. Like-named colors in different materials may not be an exact color match. In our continuing effort to improve our products, we reserve the right to change specifications without notice.

Returns: All claims must be made within 15 days of receipt of merchandise. The factory must authorize returns; any returns not authorized will be refused and returned to sender. No returns will be accepted for imprinted or special order merchandise unless it is determined to be defective by the factory. Returns on unimprinted merchandise are subject to a 20% restocking fee. No replacement or credit will be issued for merchandise which is unavailable for return to the factory.

Terms: New accounts must submit a valid Resale Certificate and are on pre-pay, credit card basis until credit is established. Credit accounts are Net 30 days. Aging begins day of shipment. Past due invoices are subject to a 1.5% finance charge per month or maximum allowed by law. All accounts not kept current will be returned to pre-pay or credit card terms. Production of merchandise will not begin until prepayment is received and/or account is current. In some instances production will not begin until prepayment has cleared. We accept VISA, MasterCard, American Express and Discover Card. Customers outside the U.S. must send certified funds in U.S. dollars  for merchandise and freight with order unless prior arrangements have been made.

Representations & Warranties: Galactic Fun Time Line makes no warranties as to the performance or marketability of any items for sale through this catalog, other than such products will be free of defects. Customer agrees to indemnify and hold harmless Galactic from and against any and all claims and expenses, including attorney fees, arising out of or related in any way to Customer’s use of the products or services provided through this catalog, including loss due to delay of orders or shipments. Prices and products offered through this catalog are subject to change without notice. By placing an order through this catalog, Customer agrees to all terms and conditions.
3-4 Color Imprints: Balloons, 1000 piece minimum. Full size sport balls,  25 piece minimum. Digital Ornaments 25 piece minimum. All other products 250 piece minimum.

Pantone Inks: Uncoated ink is used on latex balloons. Coated ink used on all other products. There are no charges for our stock ink colors. We can match PMS colors for a charge of $40.00(A) but an exact match cannot be guaranteed. Please request a color swatch or a pre-production sample if an exact PMS color in required. Printing on any product color other than white will alter appearance of ink.

Acknowledgments: Order acknowledgments show price, product, quantity, imprinted artwork, ship-to address, ship method and estimated ship date. Please review carefully and contact us immediately via phone or email to correct any errors. We will consider no reply as acceptance of price, schedule and imprint.

ARTWORK INFORMATION

Preferred Artwork Submission Procedure: Please e-mail art files as attachments to artdept@galaxyballoon.com. Put your company name and purchase order number in the subject line. Please provide a contact name and phone number in the body of the message as well as state on your purchase order that artwork was e-mailed. To ensure the accuracy of e-mailed artwork, submit a faxed hard copy with your purchase order or e-mail a .jpg or PDF copy along with your e-mailed art. The art department is not responsible for poor-quality, unreadable artwork or improperly saved files. Artwork will be screened and you will be contacted with art file and/or printing issues. Failure to respond in a timely manner to artwork issues will affect production and delivery schedules.

Acceptable File Formats: .AI, .EPS, .CMX, .CDR, .PDF, .PSD, .TIF, & .BMP.  Fonts must be converted to outlines and placed images must be embedded. We can also accept mailed CDs, DVDs, and camera ready graphics. Vector artwork is always preferred, but not always necessary. The larger the imprint is going to be, the more critical it is to use a vector file. Raster artwork must be black and white and a minimum of 600 DPI at imprint size or larger.  

Art Charges: We offer artwork re-creation services for those who cannot provide high quality or vector art files. Recreations cost $25.00 (A) per file. This will cover 99% of the artwork submitted. Some multi-color artwork and/or extremely complex designs can incur additional charges of $45.00(A) per hour. We will contact you for approval if charges above the $25.00 (A) will be needed. Some low-resolution and very poor quality files cannot be successfully recreated.

Typesetting: The art department can typeset straight-line copy with our available fonts at no charge. If we do not have a requested font we will typeset in a similar font style.

Proofs: Proofs cost $10.00(A) and must be requested in writing on the purchase order.
Please specify on your purchase order whether you would like a fax proof or an e-mail proof, and include the fax number and/or e-mail address. Our standard proof template is sent blind and virtually. Relative size, color, and placement are for general reference only and are not intended to be an exact depiction of the final product. Please check spelling, phone numbers, layout and product information. Proof revisions will be $5.00 (A) each if more than one is required. Galactic Fun Time Line will not be held responsible for final products with proof approvals containing any errors other than print quality or product defect. It is important to approve paper and/or product proofs as soon as possible to meet the delivery dates. If approvals are delayed, rush charges and/or expedited freight may be required at the customer’s expense to meet a specific delivery date. If a proof has been approved and sent to production and artwork changes are requested there will be a charge of $40.00(A) to have the order pulled from production and delays in delivery may occur. A copy of your artwork will be sent on your acknowledgment regardless of having received a proof.

Virtual Samples: A virtual sample can be requested by
e-mailing virtualsampling@galaxyballoon.com. The art requirements above do apply.
Issues with art will delay the virtual sample.  Please note in the body of the e-mail which product, product color and ink color to expedite your request properly. Artwork must be re-submitted if the virtual sample becomes an actual order. We do not keep virtual samples on file. VIRTUAL SAMPLES ARE NOT PROOFS AND ARE NOT INTENDED TO BE USED AS PROOFS.

Halftones: All products can print in a 60 LPI dot pattern, except Sun Catchers, Foil Balloons & Backboards which print in a 35 LPI dot pattern. Vector artwork must be received to print the halftones at the proper percentage. Halftones are not recommended on small imprint areas.

Multicolor Artwork: Must be spot colors and sent color separated along with a vector composite of the artwork. The proper imprint colors should be part of the artwork as well as stated on the purchase order.

Color Registration: Due to our printing process, each color will shift during production. No two products will print exactly alike. We can trap and overprint depending on the product and ink colors. Colors on screen printed items such as Latex and Foil balloons can shift up to 1/4” in any direction, with the exception of backboards and sun catchers which can shift 1/16”-1/8” in any direction. Pad printed items such as sports balls and ornaments can shift 1/16”-1/8” in any direction. Please refer to the attributes under each product to see color registration shifts.

Layout: Artwork layout affects imprint size & clarity. All artwork is set to max imprint size unless otherwise specified on the artwork or purchase order. Artwork will be printed as received and the layout will not be altered unless specific, detailed instructions are placed on the purchase order. Please size artwork appropriately to the imprint area. Please see below as an example.  See below for examples of how the layout can affect the utilization of the maximum imprint areas. Art templates are available for download at www.galacticline.com.
